Salary: £40,000 – £45,000 depending on experience

Role Start Date: 18th November 2024 (interviews to be held between 7th – 18th October)
Based in: This role can be remote but there is an expectation to come into the office occasionally and for quarterly board meetings, so you need to be able to travel to our office in Notting Hill, London.

What We’re Looking For

Would you like to be part of an organisation which is both creative and purpose driven? We’re looking for an experienced Executive Assistant to support our Leadership Team.

You will be responsible for supporting one of our Co-Founders and Managing Director, as well as playing a supporting role to our team of directors. The role involves complex diary management and planning support, often working on high level, international events and campaigns.

You will also be secretary to our Board – organising, attending and minuting quarterly board meetings.

About The Role

  • Provide professional and comprehensive executive support to the Co-founder and MD.
  • Also provide ad hoc support to the wider directors team.
  • Complex diary management – scheduling and managing deadlines.
  •  Responsible for organising meetings and appointments, often with high profile organisations and individuals.
  • Assist in organising and supporting at events and conferences.
  • Coordination of Co-Founder’s attendance at events and conferences.
  • Book travel and accommodation for work trips.
  • Collate and submit expense claims.
  • Occasional research and writing briefing notes for meetings.
  • Assist with and compile presentations ahead of meetings.
  •  Take minutes and actions from meetings (both internal and external)
  • Occasionally organising the Co-Founder’s personal commitments including travel
  • Occasional international travel

About You

  •  Have extensive experience providing executive assistance, secretarial or administrative support to individuals or a team.
  • Excellent time management and organisation skills with the ability to manage multiple tasks simultaneously and to work to deadlines.
  • Ability to effectively digest and summarise complex information, in order to communicate key priorities.
  • The ability to build relationships across diverse teams both locally and globally
  • The confidence to engage with senior/high profile contacts and their teams
  • Be able to exercise both tact and diplomacy 
  • The ability to deal with sensitive information with discretion and to maintain confidentiality
  •  Excellent IT skills – confident with all Office apps
  • Powerpoint or similar design skills would be an advantage
  •  Be able to occasionally work out of normal office hours
